I work for a company that handles a lot of different process.

I want everyone to use a common tool to :

  • make a request
  • follow-up opened requests through the different steps of the process
  • write "done job"- or "problem encountered"-like comments
  • attach files related to the job

The follow-up makes me think of a bugtracker. The multiple process management makes me think of a BPM-tool.

The issue is that each tool in its category is heavy and complicated, and I'd like the tool to be easy to install, configure and use. (eg. limit forms to "input", "text", "file", limit process to steps and choices, etc.)

Do you know any tool of that kind?

I can recommend you to use Jira. I've been working with it for a year and a half in the company where I work. Once it is configured, it is very easy to use. One 2-3 hour meeting is enough to show everyone how to works with it.

Jira also has nice documentation which enables you to start using it quickly.

The only thing is that Jira isn't free. The fee depends on the count of users.

We already use Jira, and as a bugtracker it is marvelous. But I'm doubtful Jira helps when it comes to handle a hundred of process... Or do you disagree ? – Fabien Polley Aug 6 '12 at 12:18

We user Jira for issue tracking regardless of the type of issue _ technical task, user story, research, bugs, etc. And it has never failed during all the time we use it. – superM Aug 6 '12 at 12:20

Fabien, In regards to your question on JIRA can scale incredibly. Just as an example most APAche projects use it, and as you can imagine, ASF handle a great deal of requsts

It sounds like you need a tool like Team Foundation Server (also known as TFS abbreviation), Jira or other open-source alternatives as listed in reference post.

TFS is offering source control, data collection, reporting, and project tracking, and is intended for collaborative software development projects.

It has tools to track the tasks, their status, report on them, log defects (bugs), assign people to the task and notify them (commonly via email).

Surprisingly TFS is very lightweight and does not require too much resources to run. My laptop was runinning it without any glitches. I was really surprised how fast it was running...

yes, and it is also a centralized tool to manage different processes. as you know, it is also a part of share-point. – ElYusubov Aug 6 '12 at 12:25
